Welcome Committee seeks new members

If you like to meet people, Brookwood’s Welcome welcome-imageCommittee wants your involvement! Committee members are active on average about once a month to greet new homeowners, answer their questions about the area and provide them with a small basket filled with goodies.

Susan Niedenthal now leads the committee and would like to involve more people to warmly welcome each new household to our neighborhood. If you are interested, please send an email to [email protected].

HOA Board to Meet Quarterly

HOA Board Meetings will now be held during the months of January, April, July and October, with October being the month of the Annual Meeting. The meetings were previously held on an as-needed basis but generally amounted to about four meetings a year.

The change came as a result of one of a number of recommendations from the HOA’s Communications Committee.  “Having meetings on a regular basis helps homeowners know generally when to expect the next one,” said Terry Jones, board member and chairperson of the committee. “The exact date and location of the upcoming meeting can now be found in the upper righthand corner of the website’s homepage,” she added.

A number of other recommendations from the committee were approved by the board at its meeting earlier this month, including adopting a 7pm start time for the meetings to make it easier for homeowners who work during the day. Thanks to committee members Chris McGuire, Amy Miller, Susan Niedenthal and Briana Rapp for their work on the recommendations.

HOA Board Meeting Reminder

Don’t forget that the first board meeting of the year will be held at 7pm on Thursday, Feb. 8, at the small meeting room at Crosswater Hall.  The agenda will include recommendations from the community’s Communications and Property Committees as well as information about an Asset Study for Brookwood.

All homeowners are welcome to the meeting to get their questions answered on these subjects as well as to participate in an open forum after the agenda is concluded. Remember, your involvement in the HOA protects your property and its value.

Property Committee meeting on Monday

The HOA Property Committee will meet at 7pm Monday, January 29th, at 280 Willow Ridge Drive. The committee members will review 2017 costs for common area maintenance and discuss ways to best utilize the 2018 budget dollars related to property maintenance.  They will also discuss landscaper recommendations regarding playground area tree health issues.

Communications committee meeting on Tuesday

The HOA Communications Committee will meet at 7pm Tuesday, November 14, at 417 Wayfare Lane. The committee members hope to develop a communications plan that makes sure that homeowners get reliable information in a timely manner, ensures there are ample means to reach out to the HOA, and continuously improves information on the HOA website.

HOA board members remain unchanged

Without a quorum of votes at this year’s annual meeting last week, the members of the HOA board in place in 2017 will continue in 2018. Board members consist of President Elaine Prisby, Vice President Terry Jones and Treasurer/Secretary Bill Fitzgerald. A fourth candidate, Amy Miller, has expressed interest in getting more involved with the HOA going forward.

In a board meeting preceding the annual meeting, a budget for 2018 was approved. No increases in annual dues will occur. The board also decided to approve a one-time expense of planting winter rye for ground cover on the Willow Ridge retention pond. Items during the annual meeting included a community update on accomplishments since last year, the formation of a committee to try to establish a quorum for next year’s vote by canvassing the neighborhood, and suggestions during an open forum that the board will consider at its next meeting. HOA Meetings Reminder

Homeowners are urged to attend this week’s HOA Board Meeting and Annual Meeting.  The board meeting will begin at 6:30pm on Thursday in the Nocatee Room at Crosswater Hall. The Annual Meeting including elections will begin immediately afterward at 7pm. Links for agendas are below this post.

If you can’t attend the annual meeting, you can still vote by turning in the ballot and proxy you received to our management agency. Send it by email to [email protected], fax to (904) 242-0670 or mail to BCM Services, 920 Third Street, Suite B, Neptune Beach, FL 32266. Ballots and proxies must be returned to BCM Services by Wednesday, October 25, 2017. The proxy must be signed and dated in order to be valid.

HOA Meeting on Wednesday

A myriad of topics will be discussed at an upcoming HOA board meeting and all homeowners are welcome and encouraged to attend. The meeting will be at 6:30pm on Wednesday, March 1st, in the small conference room at the northeast corner of the Nocatee Welcome Center.

In addition to regular committee reports, the discussion will include the topics of a community yard sale and fence options.  A full agenda can be seen by following this link.

Annual Meeting Reminder

Don’t forget the HOA Annual Meeting at 7pm Monday at Crosswater Hall. If you haven’t returned your ballot or proxy for the election of board members to the management company office, you must bring your ballot to the meeting for it to be counted.vote-counts1

Regardless of the number of candidates running, it is important that you vote. The HOA needs a quorum of 30% of the members (33 lots) for the meeting and vote to be official for an election of board members.
