Changes coming to Architectural Review Process

When homeowners wish to make a modification to the exterior of their home or property, they will have a slightly different process to go through than in the past.

Starting in April, the Architectural Review Board (ARB) will meet once a month to review applications and will approve or disapprove of them at that time. Assuming there is at least one application, the first meeting will be held at 7pm on Tuesday, April 16 in a meeting room at the REMAX office at the Nocatee Town Center.

The change is necessary because the original declaration for Brookwood requires the ARB to make a decision on an application within 10 working days of submission while state law requires that homeowners be able to attend ARB decision making meetings.

To comply with both requirements, applications submitted more than 10 working days prior to when the committee meets will be denied unless the owner waves the 10-day response requirement and agrees to a decision being made on the application at the next monthly ARB meeting.

A new application form that gives homeowners the right to waive the 10-day response requirement is available in the Documents area of the website. Homeowners should use 5pm of each meeting date as the deadline for submitting applications for each month.

The following monthly ARB meetings, currently anticipated to be on the second Tuesday of each month, only will be held if there are applications pending. Information regarding the date, time and location can be seen on the right hand side of the home page of the website and on a new message board soon to be posted at the park.

Aubrie Synan named new Brookwood property manager

First Coast Association Management, Brookwood’ s association management company, recently assigned Aubrie Synan to focus on our community. She replaces Jeff Edwards, who has been our manager since September.

Aubrie spent most of her career in property management and hospitality.

She has worked for First Coast for about two and a half years. She is well versed in all areas of the company and will spend her time working with our HOA, its vendors and community members.

Aubrie grew up in Ponte Vedra and says she is “honored to work with such a beautiful community in her home town.”

HOA Meeting Reminder

All homeowners are welcome at tonight’s board of director’s meeting that will be held at 7pm in the small conference room at the Nocatee Welcome Center. Click here for a copy of the agenda.

The meeting will be proceeded by a Covenant Enforcement Committee orientation at 6pm at the same location. If you are interested in volunteering for the committee or learning more about it, please attend.

Annual Meeting Tonight

Homeowners are urged to attend tonight’s HOA Annual Meeting at 7pm in the Nocatee Room at Crosswater Hall. The annual meeting will be preceded by a short board meeting at 6:30pm to approve next year’s budget. Click here for the annual meeting agenda.

Welcome Jeff Edwards, Brookwood’s new Community Association Manager

First Coast Association Management, Brookwood’s new association management company, assigned Jeff Edwards to focus on our community effective September 1.

Jeff spent most of his career in management and sales.  He has worked for First Coast for about a year and a half. He is well versed in all areas of the company and will spend his time working with our HOA, its vendors and community members.

Jeff is a native Floridian, having grown up in the Central Florida area. He moved to Las Vegas for a position, but says that “while I enjoyed my time there, the call of the beach and family eventually brought me back to Florida.”

Brookwood to get new property manager

First Coast Association Management will replace BCM as Brookwood’s property management company effective September 1st. The decision was made at the HOA board’s quarterly meeting held earlier this week. To read the draft minutes of the meeting, click here.A process that included seeking information from other companies began in April and gave property owners a chance to meet representatives from First Coast in June.  Homeowners will receive U.S. mail with more information as the transition begins over the next month.

“Brookwood enjoyed a good relationship with BCM through our early years as an HOA,” said Board President Elaine Prisby. “We are excited to start the next phase with a company that offers some additional services, like training for committee members and a different way to focus on compliance with HOA regulations.”

Besides their regular agenda, board members will make a decision regarding whether Brookwood will change property management companies. There was a nice turnout and discussion at the Special Meeting last month to hear from First Coast Management Company representatives.

HOA Special Meeting on Tuesday

The HOA Board members are inviting representatives of First Coast Association Management to an HOA special meeting at 7pm on Tuesday, June 19, in the small conference room at Crosswater Hall. All homeowners are welcome and encouraged to attend.

As discussed at the last HOA Board meeting, the board is practicing due diligence to make sure that Brookwood has quality property management services at a reasonable cost. Over the past two months, requests for proposals were sent to three companies with good reputations in the Jacksonville area.

After receiving two comprehensive proposals, the decision was made to call references and meet with First Coast. There has not been a decision to change from our current management agency, BCM Services.  That decision will be made after the meeting and considering input from homeowners who attend.
